Acknowledging Your Candidates’ Applications continued:

Tip #6: Include a warning about recruiting scams.

Unfortunately, bad actors seek to take advantage of job hunters. Recruitment scams can range from fake job listings to imposters contacting would-be candidates claiming to work as recruiters for legitimate companies.

BackOffice Pro, a global business process outsourcing company, analyzed 3,845 employment scam reports submitted to the Better Business Bureau Scam Tracker through April 2025. Their study found employment scams resulted in $2,742,572 in reported financial losses in the first quarter of 2025 alone. Although only 14.3% of employment scam reports included financial losses, the average loss was nearly $5,000 per victim.

Consider adding a warning about employment scams at the close of your acknowledgement communication.

Example: Fake job scams are on the rise. Scammers pose as “recruiters” offering employment, but their aim is to steal money and personal information. Company A will never ask you to pay any upfront fees or send you any checks to purchase equipment during any part of the recruiting process.

Company A only uses legitimate company email address domains (either “@companya.com” or “@us.greenhouse-mail.io”) to communicate with candidates via email. If you are contacted by someone about a role at Company A and it is not from one of the email address domains listed above, it’s likely not legitimate.

To learn more about these scams and further protect yourself, see the FTC’s Consumer Alerts website.

If you’ve incorporated the preceding tips in your acknowledgement communications, you’ve set the table for a positive candidate experience. Once you’ve determined a candidate is not the best fit for your position, it’s critical to manage the sensitive rejection process with professionalism, while demonstrating empathy and offering encouragement.

Check back next week for tips on rejecting your candidate's applications.
